Letter of Dismissal

A letter of dismissal is used when an employee of a business is being fired, a student is being removed from a school or college, or somebody is being banned from an organization. It is a formal notice that after the specified date, the recipient will no longer be welcome. Usually a letter of dismissal will include the reasons for termination and sometimes a medium for appealing the decision.

Steps

Starting to Write

Include all relevant information such as dates, times and reasons.

Be precise and do not use generalizations. There will be a specific incident or series of incidents that caused the dismissal. This helps record keeping for both parties.

Despite the possible severity of the case, be polite to demonstrate your professionalism.

Be concise: don’t make the letter longer than it has to be. The recipient may already know they’re being dismissed. This is the formal notification.

Sign the letter.

We are deeply saddened to inform you that your term of employment at Barone Sanitation has come to an immediate end. Due to your violation of our employee code of conduct Section 3. a), we have no choice but to end your employment with us.

 

You have until the end of July 15th, 2009 to clean out your office and vacate the premises. If you do not comply, your belongings will be packed up for you and you will be escorted off the premises by our security team.

 

We thank you for your service to Barone Sanitation and we wish it didn’t have to end this way.

Letter of Dismissal from School Sample


Dear Norbert Gilson,

After a thorough investigation, the school board has decided that you are being dismissed from Bettman High, effective June 03, 2012.

 

You have continually violated our anti-bullying policies and the fight you instigated on May 22, 2012, which resulted in law enforcement being called, was the final straw. You are lucky that charges have not been brought against you.

 

This was not an easy decision to make as we always believe in second chances, however Irreparable damage has been done to your relationship with teachers and pupils, and we feel your educational needs and the needs of those at Bettman, will be better met if you transfer elsewhere and have a fresh start.

 

We wish you all the best in the future.

Letter of Dismissal from Church Sample


Dear Mrs. Rochester,

I regretfully inform you that you are hereby dismissed from St. Anne’s Parish Church, as voted by the Church board. You will no longer be welcome at any of our services and functions as of the date of this letter if you do not change your ways.

 

As you are aware several other churchgoers raised the issue of your negative attitude toward your chosen religion, and that on many occasions you’ve made light of the teachings you profess to follow. While everyone is of course free to worship in their own way, we feel your attitude is disrupting others.

 

We discussed this matter with you on Sunday March 5th and you acted in a dismissive manner. You were then given an opportunity to repent during a meeting with the board on May 1st, which again you dismissed, advising us to quote “lighten up”.

 

The community here at St. Anne’s are traditional in their faith and your failure to repent or even acknowledge that you have mocked the church has caused an irreparable rift with long time members.

 

We suggest that finding another church that may be more in line with your beliefs and personal philosophy might be the best option.

 

However some members of the church had a private meeting and have proposed and the board have agreed that we will welcome you back on the condition that you give a brief speech of repent at the next closest Sunday.

 

If you do not find this acceptable we wish you all the best in wherever God takes you.
